Costing method
PhoneBills costing technique is based on the simple fact that long distance billing = distance x duration x rate. By dividing North America into groups or bands of area codes, and setting a rate for each band, PhoneBill can then calculate the billing of any long distance call.
PhoneBill has pre-defined bands for local calls, long distance within the home area code, 800, 900, information, 976 and international; 14 programmable bands for long distance; and 10 additional bands for any special individual requirements.
System features

Easy operation Day to day operation is so simple that the instructions are printed on the case.

Programmed on-site All programmed rates, bands, system functions are totally programmed and changeable on site.

Record storage 1,300-, 2,600-, 5,200- and 9,000-record storage capacities available (factory upgradable).

Password All system programming is password protected. The password can be changed from behind the current password.

Telephone system type The SMDR format output for the most common PBXs are grouped into telephone system types. The appropriate one is simply chosen from the list in the installation manual. Additionally, SMDR formats for those PBXs not listed can be input manually.

911 alert The system will sound an alarm and automatically generate a printed alert message whenever a 911 call is placed from any extension in the property. For example:

Memory overflow To assure that data will never be lost, the system will automatically download to the printer all call records if the memory has reached capacity.

Battery protection All stored data is preserved for an extended period by a built-in battery.

System diagnostics All system hardware and software functions can be field diagnosed with the aid of on-board software routines.

Grace periods System programmable to designate a time period before charging starts. Allows for non-billing and recording of directory assistance, wrong number and ring-no-answer type calls.

Automatic reports All reports can be programmed to print at a specific time each day, week or month.
Business features

Account codes Up to 10-digit, for tracking by account.

Flexible report generation Simple keystroke commands request the exact information needed, when it's needed.

Group/automatic reports Frequently used reports can be grouped together for simple three keystroke request or can be programmed to print automatically on a daily, weekly or monthly basis.

Store Account Code Calls Only command Allows the system to be programmed to store only calls that the caller has annotated with an account code.
Motel features

Credit limit for all rooms Default limit can be set for all rooms. Individual credit limits can be entered on a guest-by-guest basis to override the default. The system will alarm the attendant and print a notice when this credit limit has been exceeded.

Admin. phones/band exclusion Any number of extensions or bands, such as for 800, local, etc., may be excluded from system totals and/or printing.

Admin. phone rate -- Any number of designated extensions can be programmed to be costed at a reduced (near actual) cost rather than marked-up rate set for rooms.
Motel options

PMS interface Allows PhoneBill to be connected to most Property Management Systems via an additional serial port located on the back of PhoneBill. Once connected to the PMS, PhoneBill will automatically send each costed call record to the PMS as generated.
In addition, PhoneBill will store and print in real time call records to its own printer if the PMS is offline or disabled. Then when the PMS returns to online, PhoneBill will automatically download the stored calls to the PMS.

Toll Control An optional upgrade feature which allows the PhoneBill call accounting system to automatically turn on or off trunk access to individual room phones on some phone systems.
More than a credit limit, Toll Control automatically denies trunk access when a room is vacant or when the guest exceeds his individual credit limit. When a guest checks in and a credit limit is set, his phone is automatically allowed to make outside calls.
Business reports

Requesting a report to be printed is accomplished in three steps. Simply indicate:

Whether you want a detail report or a summary report

How you wish to organize the report (e.g., by extension, account code, etc.)

What you want the report to include (such as specific account codes, or all account codes)
Detail or summary information is available by extension, account code, area code, department, dialed number, band, most expensive calls or all calls in order.

The Dialed Number Report will provide detail or summary of all calls beginning with the digits selected.
For example: selecting 976, 1214985 and 18185960990 will result in the following calls being printed:

All local calls beginning with 976

All long distance calls to any number beginning with 214985

Long distance calls to the single number 8185960990

In the Most Expensive Calls Report, the number selected (e.g., 15) will request that quantity of the most expensive calls.
