Sophisticated voice mail

  • Advanced DSP technology — A digital signal processor (DSP) replaces numerous other chips and components. By using a DSP to replace hardware with software, VoiceWorks 16 uses less space and less power. It costs less, too.
  • Expands to as many as16 ports -- Whether your workplace has two workers or 200 workers, VoiceWorks 16 can handle it. Buy VoiceWorks 16 with the capacity you need now — as few as two ports — and expand it as your needs require. It grows with your business.
  • Up to nearly 140 hours of voice storage — Even the standard VoiceWorks 16 holds a massive 70 hours of audio and, as your needs require, it can expand to hold more — nearly twice than much.
  • Highest-grade audio quality — VoiceWorks 16 voice mail and auto attendant messages just plain sound better — a lot better. That’s because VoiceWorks 16 records messages using an awesome 64-kilobit/second sampling rate, up to twice the quality of competing devices. That’s more than enough to handle any sound that a normal telephone line can carry.
  • Off-premises message delivery — Some voice mail systems let you check your messages only if you’re at an office extension. What good is that if you’re out of the office, especially if you’re a field employee who's never in the office? But VoiceWorks 16 makes it simple to gather your messages from wherever you are. It can even page you to tell you a message is waiting.
  • Urgent messages — If a caller designates a call as an urgent message, VoiceWorks 16 can provide special notice to the message recipient by putting the message higher in the listening queue and even, if desired, paging the person.
  • Up to 1,000 mailboxes in any combination of:
    • Individual user mailboxes — Available from any extension in the phone system to which you connect VoiceWorks 16. Each can record more than 125 messages.
    • Guest mailboxes — Each is perfect for use by a field employee who has no extension in the workplace. Like the individual user mailboxes, each can record more than 125 messages.
    • Informational mailboxes — Don’t record messages but play recordings of things like directions, hours of operation or any other commonly requested information you wish to leave for callers.
  • 10 cascade paging mailboxes — Help to guarantee prompt handling of emergency or other time-sensitive messages. VoiceWorks 16 will start by paging the first user (of up to three) listed when a message is left. If the user fails to retrieve the message within a programmed period of time, VoiceWorks 16 begins paging another user.
  • 10 question-and-answer (Q&A) mailboxes — Each holds up to 10 Q&A segments (saved as one message). Great for applications-over-the-phone, questionnaires, etc.
  • 16 group mailboxes — Perfect for getting messages to entire departments, such as when you wish to schedule a meeting or convey other information to multiple individuals at once.
  • Broadcast mailbox — A real time- and money-saver, this copies any message left in it to all users in the VoiceWorks 16 system. Could eliminate the need to type, copy and circulate all-company memos.
  • Message recycle bin (undelete) — VoiceWorks 16 always remembers the last 10 deleted messages for each mailbox. And, unlike other systems, VoiceWorks 16 will allow you to restore any of the last 10 messages regardless of how long it’s been since you deleted the message.
  • Multiple personal greetings — VoiceWorks 16 holds up to three different personal greetings in each mailbox — for example, one that says, “I’m in the office but away from my desk,” one that says, “I’ve gone to lunch” and a third that says, “I’m out of the office until...” Each user can easily set the greeting to be played, just by using any touchtone phone. It’s also simple to record a greeting remotely, if desired, as well as from a system phone.
  • Digital pager notification — When a new message arrives in your mailbox, VoiceWorks 16 can dial your digital pager to keep you in touch with the office while you’re out. VoiceWorks 16 is even smart enough to indicate which mailbox received the message, which is helpful for certain users who have multiple mailboxes for one reason or another.
  • Multiple password levels.
  • Message-waiting light notification — (With systems having such lights.) Lights a lamp on your system phone to alert you that at least one new message is waiting for you.

Reports

  • Enhanced reports — System reports available on demand include automated attendant/CO (central telephone office) line usage, extension/department, voice mail statistics and program configuration. You may select parameters such as clearing report toals, type of call and time period. VoiceWorks 16 outputs reports through its RS-232 port; you may direct this ASCII output either directly to a serial printer or to a computer.
  • Remote reports during programming — Allows an authorized installer or administrator to obtain information while programming the system (via touchtone) from a remote location.

Built-in, award-winning automated attendant

  • Six menu levels, 100 audio-text branches — The VoiceWorks 16 automated attendant can route calls through up to six menus. Each audio-text branch asks each caller to enter a digit, 1 through 8, to advance to the next menu level or be transferred to his/her selection. With the massive 70-hour storage capacity in even the standard VoiceWorks 16 — not to mention the optional 140-hour capacity — recording time for each branch is nearly unlimited.
  • Customized answering of incoming lines — VoiceWorks 16 can independently answer incoming lines with any of up to eight different main greetings. This is ideal for companies with separate phone numbers for each department or catalog request lines, as well as for multiple companies operating in the same office.
  • Automatic fax detection — If it detects a fax tone on any line it answers, the VoiceWorks 16 automated attendant automatically transfers the call to the extension you designate as a fax. This eliminates any need for a dedicated fax line, potentially providing substantial annual savings.
  • Directories — A caller can either hear individual names (alphanumerical access) or get an all-company listing.
  • Automatic night greeting — VoiceWorks 16 will automatically play a recordable night greeting, if you wish. Whether the greeting plays is based on a programmable timetable based on time-of-day and day-of-week.
  • Remote holiday greeting record and activation — A system administrator may remotely call VoiceWorks 16 and, with a few simple touchtone keystrokes, activate the automated attendant’s holiday greeting. The administrator can easily re-record the holiday greeting to specify the occasion. This allows for unexpected closings, such as for inclement weather — or when the administrator realizes he or she forgot to activate the greeting before leaving for his or her own holiday travel.
  • Uniform call distribution (UCD) groups ("hunt groups") — VoiceWorks 16 can enhance certain telephone systems that lack the so-called “hunt group” feature, searching for an available telephone from a list of extensions. It will rotate the order of first extension attempted, thus creating a uniform distribution of calls.
  • Automated attendant block — The system administrator can list certain extensions — such as lobby or “break room” telephones — as private. Callers then can’t reach such extensions from the automated attendant and, if appropriate and so desired, will instead be forwarded to either the operator or a mailbox.

From basic configuration to top-of-the-line, it needs only one box.Modular, standalone system

  • Two to 16 ports of call processing.
  • Accepts up to four four-port cards — Also accepts any combination of two- and four-port cards as desired. And there’s no need to remove the cabinet from the wall when installing port cards.
  • Music-on-hold interface — A dedicated 8-ohm mini-connector port on the main board provides a continuous 64 kilobit/second music source to your phone or paging system; the same port also records from your chosen audio source (e.g., a cassette player with custom messages). VoiceWorks 16 has eight available recordings that an authorized individual can easily select from any phone using touchtone entries. There are three royalty-free music tracks already recorded on VoiceWorks 16; the remaining five are reserved for recordings you provide. (The royalty-free music tracks alone can save you hundreds of dollars in monthly licensing fees.)
  • Analog connectivity for interfacing with Lucent Partner, Merlin Legend and hundreds of other phone systems — VoiceWorks 16 can interface with most popular phone systems. This protects your voice mail investment, even if you later install a different phone system. Otherwise, when the inevitable purchase of that system occurs, voice mail designed only for a specific phone system would prevent you from using the same voice mail system you and your employees already know. It might also force you to reluctantly buy another phone system from the same maker, when upgrading, just to protect the voice mail investment. Combined with its tremendous built-in growth capability, this flexible connectivity could make VoiceWorks 16 the last voice mail system your company purchases for many years.
  • Comdial digital phone system integration — The VoiceWorks 16 DSU Integration Card (DSUic) enables direct connection to the digital ports of Comdial’s Digitech and Impact telephone systems running under Execumail-compatible software. This substantially reduces equipment cost, because the DSUic eliminates the need for costly ATI-D analog adapters. You’ll experience faster call processing and, obviously with VoiceWorks 16, the highest quality audio available. Your dealer will also benefit through simplified programming, wiring and support. Most of all, you’ll appreciate the value of both lowered initial and expansion cost that VoiceWorks 16 provides when connecting to these Comdial digital systems.
  • Fully Year 2000 compliant — We developed the software for VoiceWorks 16 (as for all other ESI products) with an eight-digit (not six-digit) date code, making ESI systems completely Year 2000 compliant. Extensive testing shows VoiceWorks 16 experiences no date or software problems when switching over to the year 2000, and the internal calendar continues to handle leap years accurately.
  • 14.4 Kbps maintenance modem — Built into the VoiceWorks 16 main board, the maintenance modem requires no additional analog ports or dedicated lines to provide remote access for authorized individuals to your VoiceWorks 16 system. This lets your dealer perform maintenance and update system software and programming, entirely remotely, through simple touchtone entries. VoiceWorks 16 also supports backing-up and restoring of system programming. Most voice mail manufacturers offer these conveniences — as an option. At ESI, however, we don’t believe superior service should cost you extra.
  • Wall-mounted, compact case with small footprint — VoiceWorks 16 mounts easily on the wall of just about any “phone room.” What takes other manufacturers’ systems multiple boxes to do, ESI does with just one compact cabinet.
  • Powered by just one wall-mount transformer — Just as there’s only one box involved with VoiceWorks 16, there's also only one power “brick.”

  • Voice-prompted, remote or local — Logical, plain-language prompts guide the programmer through all settings.
  • Use either touchtone (DTMF) or the included Installer program — The previous version of VoiceWorks allowed only touchtone access to programming (with an optional DOS program), but VoiceWorks 16 includes Installer, a Windows 95/98 package that lets your programmer point-and-click through settings in seconds.
  • Remote support — All of the following are available via touchtone commands during remote access.
    • Software uploads
    • Configuration backup and restore
    • Real-time programming
    • Reports
  • Department-level programming — VoiceWorks 16 can increase call-processing efficiency by using department hunt groups, programmed within the phone system, to transfer calls. If the department is busy or the call otherwise goes unanswered, the phone system can transfer calls back to VoiceWorks 16 for re-routing to another extension, department, mailbox or automated attendant branch.
  • Multiple programming levels — If you’ve ever used a computer network, you’ll understand this concept. VoiceWorks 16 programming has three different access levels; in descending order, they are: installer, system site administrator and user. This assures that unauthorized individuals can’t make improper changes, yet allows each user to make certain changes to his or her own settings.
  • Menu-driven installer and administrator programming — VoiceWorks 16 uses menu-level programming for both the installer and the system site administrator. VoiceWorks 16 presents a spoken list of functions and asks for a single-digit selection on the touchtone keypad. This process continues through appropriate menu levels until it reaches the desired function.
  • Enhanced port disconnect recognition — VoiceWorks 16 can be set up to recognize open loop interval and DTMF signal disconnect (if the phone system’s analog ports support this) — or, in plain language, VoiceWorks 16 can do a smarter job of knowing when a caller has hung up, thus freeing the line sooner. This is yet another feature that maximizes the call processing efficiencies of VoiceWorks 16.
